This Booking Policy explains how bookings are processed through Out There Entertainments (“we”, “us”, “our”, “OTE”) and outlines the responsibilities of both entertainers and clients when using our website (“Website”, “Platform”) to arrange entertainment for events. By submitting a booking enquiry, accepting a quote or making a payment through OTE or an approved off-platform method, you agree to this Booking Policy in full.
1. How Bookings Work Through Out There Entertainments
When a client enquires about an entertainer, the following process applies.
Step 1 – Client Submits Enquiry: The client completes the enquiry form or contacts OTE directly with details of their event.
Step 2 – OTE Contacts the Entertainer: We confirm availability, event details and performance requirements.
Step 3 – Entertainer Provides Their Fee: The entertainer provides their price for delivering the performance.
Step 4 – Client Receives Final Price: OTE presents the final price for the booking, based on the entertainer’s quoted fee.
Step 5 – Client Confirms & Pays: Payment may be made through the OTE platform or via an approved off-platform method arranged by OTE.
Step 6 – Entertainer Receives Payment: After the event takes place, the entertainer is paid using the agreed payment method depending on whether the booking was processed on or off the platform.
2. Entertainer Responsibilities
Entertainers booked through OTE must perform professionally, respectfully and reliably, arrive at the agreed time, bring required equipment, communicate promptly, deliver the performance as agreed, follow venue rules and conduct themselves safely. Entertainers understand that any no-shows, misconduct or client complaints may result in removal from the platform without refund. All performance responsibility sits solely with the entertainer. OTE does not provide insurance, equipment or transport for entertainers.
3. Client Responsibilities
Clients booking entertainers through OTE must provide accurate event information, ensure the venue is suitable and safe for the performance, communicate clearly, pay in full to secure the booking and provide appropriate access, power and support required by the entertainer. Clients understand entertainers are independent performers and are responsible for their own conduct, equipment and performance quality.
4. Payments
Payments may be made either through the OTE website or through an approved off-platform payment method. All bookings must be paid in full to confirm the entertainer. If payment is taken through OTE, the entertainer is paid after the event using the agreed payment method. If payment is made off-platform, payment handling is managed according to the method arranged between OTE, the entertainer and the client. All payments are final and non-refundable unless required by law.
5. Booking Confirmation
A booking is confirmed only when payment is received in full, all event details are provided and the entertainer has accepted the booking. Dates are not reserved until payment is made.
6. Cancellations by Clients
If a client cancels a confirmed booking, payments are generally non-refundable. Any refund, partial refund or alternative arrangement is the sole responsibility of the entertainer. Entertainers may choose whether or not to offer a refund. OTE does not process or enforce refunds for client cancellations.
7. Cancellations by Entertainers
If an entertainer cancels a confirmed event, the client may be entitled to compensation or a refund directly from the entertainer. OTE may remove entertainers who cancel without valid reason. OTE is not responsible for financial loss, inconvenience or disputes resulting from entertainer cancellations.
8. Event Disruptions
OTE is not responsible for any disruption affecting the event including weather, travel delays, illness, venue problems, technical failures, noise complaints, power issues, guest behaviour or any other unforeseen circumstances. These issues must be resolved directly between the client and the entertainer.
9. Performance Quality and Expectations
OTE promotes entertainers based on the information they provide. We cannot guarantee specific performance outcomes, setlists, interaction style, equipment performance, energy level, atmosphere or audience satisfaction. The entertainer is fully responsible for their performance.
10. Behaviour & Conduct
Unacceptable behaviour from entertainers or clients includes verbal abuse, harassment, discrimination, aggressive behaviour, intoxication, illegal activity, damage to property or failure to follow venue rules. If misconduct occurs, OTE may intervene, cancel the booking or permanently remove the entertainer from the platform. Entertainers removed for misconduct are not eligible for refunds.
11. Communication
OTE facilitates communication between clients and entertainers. Both parties must respond promptly, provide accurate information and report any issues as soon as they arise. All booking updates should be communicated through OTE to ensure clarity.
12. Liability
OTE is not liable for entertainer no-shows, performance issues, equipment failure, injuries, accidents, venue problems, guest behaviour, event disruptions, travel delays, illness, cancellations or any issues outside our direct control. Clients book entertainers at their own risk. Entertainers perform at their own risk. OTE’s total liability is limited to the value of the booking fee paid to us, where applicable.
13. Changes to Bookings
Any changes to event time, location, duration, performance type, equipment requirements or logistical needs must be approved by both the entertainer and OTE. Price changes may apply depending on the updated requirements.
14. Booking Complaints
Clients must notify OTE within 48 hours if they experience any issues with an entertainer. Entertainers must contact OTE immediately if they become aware of a complaint. OTE may review communications and event details to assist with resolution, but all refunds and compensation are the entertainer’s responsibility.
